Six month contract · Upington, Northern Cape · Site based

Role Overview

We are recruiting for a large solar project in the Northern Cape, on behalf of the owner. The project has been running for three and a half years and is working towards completion. The building work is almost done.

What is left is the paperwork that proves it was built properly, and that is what this role is here to finish.

You will not be doing the building. The contractor does that. You sit on the owner side of the fence and make sure what the contractor hands in is complete, correct and on time. Every data pack has to be over the line before the project closes.

This is not a quality manager role and it does not need a quality qualification. It is a heavy administration role for someone who lives in spreadsheets and documents, and who can open a file and see straight away when something is not sitting right.

You report to the Quality Manager as your department head, and day to day you work directly with the Construction Manager and the Project Manager.

What You Will Do

Take the administration side of the quality function off the site team so they can stay on site

Chase the contractor for the documents they have committed to hand over, and keep chasing until they arrive

Check every data pack that comes in. Is it complete, does it match the specification, is anything missing or in the wrong order

Build and run the trackers that show where every pack sits and what is still outstanding

Work in Excel every day. Read formulas, protect them, fix formatting, sort and filter, and improve a workbook that is not doing its job

Load the finished packs and keep the filing in order so any record can be found in seconds

Report status each week so the project team knows exactly what is outstanding and who is holding it up

What Good Looks Like

You can open a file you have never seen before and work out how it has been put together without anyone explaining it.

You look at a spreadsheet and see immediately where the formulas are, what someone has typed over and what is broken.

You notice when a number does not agree with the one three pages earlier, even when you do not know the process behind it.

The contractor knows you are on top of it.

You cannot go in and do their work for them, so you hold them to the programme, you follow the process that has been set up, and you keep asking until the document is in.

You stay professional about it and you never let it slide.

At the end, every pack is complete, loaded and signed off, and nobody is hunting for a missing record.

What We Are Looking For

Minimum requirements

- Matric

- Five to ten years in a serious administration role where documents, records and data were the actual job

- Strong Excel. Formulas, formatting, sorting, filtering, and building a workbook that someone else can use

- Strong Word

- A sharp eye. You can look at a document and tell that something is wrong before you know why

- Able to hold people to a deadline when those people do not report to you

- Able to be based in Upington for the full six months

Preferred

Construction or renewable energy experience. It helps, but it is not what we are looking for first

Document control or handover pack experience

We are not looking for a quality background or a construction background. We are looking for an administrator who is very good, very organised and very quick on a spreadsheet.
